Full Job Description
The Operations Controller is responsible for the development of Orange Property Management’s overall financial & collections and will prepare monthly owner statements & budgets. The Operations Manager is responsible for ensuring their team members enter accurate and detailed information into the property management software, conduct billing auditing and are responsible for collections of past debts including working with a collection agency. They will work diligently to lead, train, develop, coach, motivate, and support high quality accounts payable teams.
Core Performance Responsibilities:
Budget Preparation:
- Audit billing in property management software to ensure accuracy & consistency.
- Coordinates the preparation of the annual property budgets.
- Manages administrative tasks required during the budget development process
- Develops efficient and effective budget documentation practices.
Accounts Payable:
- Manage accounts payable team and processes, including new vendors, general ledger coding of vendor invoices, purchase order matching, check & wire payments, annual 1099 reporting, company credit card administration, and compliance with sales/use tax regulation.
- Perform & supervise month-end close processes with Accounts Payable Team
- Provide supporting documentation, including vendor invoices, to fulfill internal utility and vendor expense audit requirements.
Financial Reporting:
- Coordinate with Accounts Payable Team and vendors to ensure a timely and accurate cut-off of Accounts Payable and related month-end financial close.
- Prepare monthly owner property reports.
- Analyze monthly variances between actual results and budgets and/or prior year; explain variances.
- Answer questions and correspond with owners about monthly financial reports.
Leadership:
- Hire, train, develop, and lead assigned accounts payable team members.
- Ensuring employees completing all required company education.
- Creating a welcoming and learning environment
Additional Information:
- Complete special projects and other duties as assigned.
- Reports to Chief Financial Officer & Chief Operational Officer
Job Skills Required :
Experience, Education and Licensure
- 5+ years of relevant experience
- Prior experience as a controller preferred
- CPA certification required
- Real estate/property management industry experience preferred
