Job Purpose:

The Operations Manager is responsible for the development of Orange Property Management’s overall financial & collections and is responsible for managing equipment & services.

The Operations Manager is responsible for ensuring their team members enter accurate and detailed information into the property management software, conduct billing auditing and are responsible for collections of past debts including working with a collection agency. The OM will also be responsible for ordering and evaluating technology equipment and create a preventive vehicle maintenance program for company vehicles. They will work diligently to lead, train, develop, coach, motivate, and support high quality accounts payable teams.


Core Performance Responsibilities:

Financial Operations:

  • Audit billing in property management software to ensure accuracy & consistency.
  • Responsible for past collections for tenants that vacated with an owing balance. This includes sending out correspondence through the property management software and working with a collection agency.
  • Create monthly bill for collections that have been collected to bill to the properties.


Leadership:

  • Hire, train, develop, and lead assigned accounts payable team members.
  • Ensuring employees completing all required company education.
  • Creating a welcoming and learning environment


Equipment & Vehicle Management:

  • Create a preventive vehicle maintenance program for all company vehicles to ensure they are being maintained properly.
  • Make sure new company vehicles are being licensed, registered & branded.
  • Manage company computer equipment and phone account.


Insurance Administration:

  • Ensure new onboarded properties are covered by appropriate insurance policies
  • Assist third party property owners with insurance claims on their properties.


Additional Information:

  • If a large community or portfolio is being added to the OPM portfolio, assist with the acquisitions team to onboard the properties.
  • Manage after hours answering service
  • Manage phone system
  • Complete special projects and other duties as assigned.
  • Reports to Chief Operating Officer.


Job Skills Required :

Experience, Education and Licensure

  • A strong leader who can motivate others to perform to their full potential and is able to lead through complex customer and employee situations.
  • Previous experience overseeing financial and/or back-end operations for a team or teams within a service industry business.
  • Strong understanding and experience in managing and analyzing budgets.
  • A motivated, well-organized and self-directed individual who is also able to motivate and guide others.
  • Ability to multi-task, prioritize responsibilities, manage time, as well as possess an orientation toward details.
  • Strong interpersonal and communication skills with ability to relate and address issues with a diverse group of people.
  • Strong analytical, problem-solving and critical thinking skills.
  • Four year degree in business or related subject preferred; or two to four years’ related experience and/or training; or equivalent combination of education and experience.
  • Ability to operate common office equipment and basic computer skills.
